Email, Calendaring, and Collaboration

Michigan Tech has partnered with Google, the world-class email, calendaring and collaboration service, to provide you with your @mtu.edu email address, as well as a host of other collaboration tools.

The Michigan Tech "Going Google" page has more detailed information on the available Google products, including an extensive FAQ.

30-Day Backup

A backup of every email received by our users in the last 30 days is kept and is immediately available in a self-serve webpage.

Aliases

Our email system can utilize email aliases to provide more than one email address to a user. These are typically used for marketing and service purposes.

Email Lists (Formerly Sympa, Now Google Groups)

Email lists are an effective way to disseminate information to a large group of interested parties. Email lists are also a low-impact way to communicate as a group, especially if some members of the group are in geographically remote areas. We use Google Groups to provide email list services for the campus.

Please reference Google's documentation for information on how to use Google Groups. Google Groups is also the best way to use email lists with Google's other collaboration tools. A properly-configured Google Group can accept Google Calendar invites and items shared via Google Drive in an intelligent way.

To view the groups of which you're currently a member or to manage your groups or create new ones, please visit the "My Groups" section of Google Groups. Group creations are audited for abuse and compliance with Michigan Tech's computer use policy.

Google Groups privacy note:

The default settings for a Google Group will result in a group that anyone in the mtu.edu organization can read the archives (view topics) or join the groupPlease pay attention to the settings for who can view topics and who can join the group on the list creation page. "View topics" permissions allows those users to view all group correspondence through the Google Groups web interface. "All organization members" means anyone with a mtu.edu email address.

What about Sympa?

Michigan Tech's legacy email list server, Sympa, is still active and manages many lists. Sympa should not be used for new email lists. To manage your Sympa email lists or list membership, please log in to Sympa (https://lists.mtu.edu). We will be automatically converting existing Sympa lists to Google Groups in the near future - watch for an announcement on this later in Fall semester 2014.

To create a list for a department, organization, or committee:

  • Log in to Google Groups and use the "Create Group" button, after reviewing the Google Groups privacy note above.

Google Calendar

Google Calendar enables users to easily schedule meetings, share event calendars, and stay organized – no matter how busy their days are. You can overlay multiple calendars to see when people are available while Google Calendar sends invitations and manages RSVPs. Google Calendar is integrated into Gmail and interoperable with popular calendar applications. Calendars can be shared school-wide or with select colleagues. A range of sharing permission controls help maintain security and privacy. View and edit event details, add new events, and invite guests on mobile devices like the BlackBerry and iPhone. Even receive calendar notifications via SMS.

Google Docs

Collaborate and learn in real-time with Google Docs: web-based documents, spreadsheets, drawings and presentations that let users edit the same file at the same time so you always have the latest version. Google Docs lets users be productive at school, at home, and even on their mobile phones. Because Google Docs runs in a web browser, students can work from almost any family computer without having to purchase new software.

Google Sites

An application for dynamic (and secure) web pages for students, faculty, and clubs. Google Sites is an easy way to create web pages for intranets or class projects. You control what's public and what's private. No coding or HTML required. Administrators can manage site sharing permissions across the school, and authors can share and revoke file access at any time. Creating a web page is as easy as writing a document. Embed documents, presentations, and video and more to develop impressive, interactive web sites.
