Audio and Video Conferencing

Information Technology offers videoconferencing and audio conferencing technology to the campus community, including Adobe Connect Pro and facilities in conference rooms throughout the MTU campus. We offer training and support in the usage of the campus conference rooms, their computer systems and A/V resources.

Video Conferencing

Michigan Tech supports H.323 (IP) conferencing and web-based video conferencing. Our Lifesize High-Definition videoconferencing system, lifesize.com, provides clear video quality and multimedia sharing between endpoints. Please note that the local MTU videoconference ISDN/gateway service is no longer available.

Web-Based Conferencing - Adobe Connect

Michigan Tech employs Adobe Connect Pro as its main videoconferencing application, which combines audio, video, chat and advanced web demonstration and collaboration features in an intuitive and easy to use platform. Based on Flash technology, Connect is easy to implement, requiring only a browser and Flash Player software. This allows for multiple-party video and audio conferencing, screen capture, session recording, etc.

How to Schedule a Videoconference/Rates

Request a videoconference at least two weeks in advance.

E-mail it-help@mtu.edu with:

  • Name, phone number, and e-mail address of person requesting the videoconference
  • Name, phone number, and e-mail address of the contacts at the remote site(s)
  • Date, time, length, and title of conference
  • Number of people expected to attend at each site
  • Michigan Tech account number or billing invoice address
  • Conference technology requirements: video playback, PC display, room layout, etc

$60.00/hour* for non-Michigan Tech accounts

*An additional fee of $30/hour will be charged beyond regular business hours.

Campus Phone System Conference Calling Feature

The campus telephone system for staff and faculty includes a conference calling feature that lets you talk to multiple parties at the same time. With this custom calling feature, business can be conducted with up to eight participants (including yourself) using a single conference call.

If you need to hold a conference with more than eight people, you may want to consider using the Meet-Me Telephone Conferencing Service.

How to place a conference call using an analog phone or conference unit

To form a Conference when a two-party call is already in place, or to add another party to an existing Conference:

  1. Let your existing caller(s) know that you will be placing them on hold until another party is added to the conference.
  2. Press the receiver-disconnect or FLASH button to place them on hold. You should have another dialtone.
  3. Dial the number of the next party and wait for an answer. Tell them they will be placed on hold temporarily.
  4. Press the receiver-disconnect or FLASH button to place the new party on hold. You should have another dialtone.
  5. Dial the Conference Call Feature access code *54 to add the new party to the conference call.
  6. To add additional callers to an existing conference call, simply repeat the above steps for each party you add.
How to place a conference call using an IP phone

  1. Press the TRANS/CONF key.
  2. Dial the number of the next party and wait for an answer. Tell them they will be placed on hold temporarily.
  3. Press the TRANS/CONF key.
  4. To add additional callers to an existing conference call, simply repeat the above steps for each party you add.

Meet Me Telephone Conferencing Service

Audio conferences with many people from all over

Telcom has a contract with the AT&T Conference Bridge Service to provide audio conferencing capabilities to all Michigan Tech staff, faculty, and students. The University's Meet-Me Telephone Conferencing service allows as many as 26 people from various locales to connect with each other through a single conference call.

When you schedule your conference call through Telcom, you will be provided a designated local and/or toll free (888) telephone number for your participants to use when calling into the 26 port conference bridge. The call can be made using any type of phone, which means that you do not need to utilize a special conference phone to gain access to this service.

If you want to use this service, you must schedule the Meet-Me Telephone Conference through Telcom at least 48 hours in advance.

How it works

You will provide your participants with the designated phone number and time of the conference. When the first person calls into the conference bridge, it will continue to ring until the second person calls in and the two are connected. Each additional person that calls in will be automatically added to the conference, while those that have already joined the conference will hear a tone to indicate that another person has been added. The conference participants will also hear a tone whenever a participant chooses to leave the conference.

Cost

There is a $15.00 service fee for each conference as well as a 15 cents per minute usage charge for each attendee that calls the toll free (888) number. Please note that the toll free (888) access is only available to those calling from within the US, Canada and Mexico.

Example:

Let's say, for example, that you have scheduled a 30-minute conference call with 10 people, where 6 will be calling locally, 2 will be calling from California, and 2 will be calling from Detroit. Your costs would be calculated as follows:

How to Order the Meet-Me Telephone Conferencing Service

If you want to use this service you must submit your request at least 48 hours in advance of the conference call by sending an email request to telcom-request@mtu.edu.

Be sure to use "Meet-Me Telephone Conferencing Request" as your subject and include the following information in the body of your email:

  • Your name
  • Your Tech ID number
  • The date you are requesting the service
  • The time the conference call is to start
  • Your department account number (if applicable)
  • Whether or not you will need an 800 number in addition to the local number
  • Whether or not you will need to rent an audio conference unit for this conference call
  • Any other relevant information that you wish to include in your request

Any Michigan Tech employee can initiate a conference call from their office or departmental phone by using their campus phone conference calling feature or by utilizing Telcom's Meet-Me Telephone Conferencing Service.

Conference PhonesHowever, there may be times when you will want to hold your meeting in a larger room so additional people can participate in the conference call with you. In this case, it would be beneficial to rent a conference phone that is specifically designed for that purpose.

Telcom has several audio conference unit options available, which are suitable for small medium, or large meeting rooms. These full-duplex conferencing solutions can pick up sound all around the room, while limiting noise, so the people in your meeting can talk naturally, and be easily understood.

Telcom can provide conference phone setups for various locations on campus. These setups can include providing conference units on an as-needed basis or as a long-term arrangement.
